Your choice here can significantly impact your travel experience, organization, and overall convenience. Trust me from experience this is very important. 1. Small and Compact Packs: These are typically around 20-30L in capacity. They are ideal for short business trips or as a daily commuter bag. You can easily fit your laptop, some documents, and personal items. Depending on your work or travel requirements it still is a great purchase.  For me I had one of these to carry my tech gear.

2. Medium-Sized Packs: Ranging from 30-50L, medium-sized packs strike a balance between portability and space. They work well for longer business trips or as a carry-on for flights. You can pack more clothes and essentials without feeling too burdened.

3. Large Packs: Packs with capacities of 50L or more are suitable for extended work-travel, such as international assignments or nomadic lifestyles. They offer ample space for clothes, gear, and even a few extras. If you’re choosing a more backpacker lifestyle, then I would definitely look into this option.

When choosing the size of your work-travel pack, consider whether you need it to be carry-on compatible for flights. Airlines have specific size restrictions for carry-on luggage, and exceeding these limits can lead to additional fees or the need to check your bag. Opting for a pack within the allowed dimensions ensures smoother travel and saves you time at the airport. I found from experience that 3 bags worked best for me as a full-time traveller. This was one checked in bag with a cabin bag and under the seat bag.

Apart from size, assessing the capacity of your work-travel pack is crucial. Capacity is usually measured in litres or cubic inches and refers to the volume of space the pack can hold. Here’s how to determine the right capacity for your needs:

1. Work Essentials: Consider the essentials you need for your work, such as a laptop, documents, and office supplies. Ensure the pack has dedicated compartments or sleeves for these items. Depending on your work these will greatly differ but would recommend if some items are cheap and don’t take to much room, to just purchase them at the place you go.

2. Personal Items: Think about your personal items, including clothes, toiletries, and any additional gear. A larger capacity is essential if you need to pack for extended trips or diverse climates. If you’re travelling full time, then summer months are difficult because of your winter luggage. Please keep this in mind as I struggled travelling through the summer carrying my own winter items.

Ultimately, the key is to find the right balance between size and capacity. You want a pack that is spacious enough to accommodate your work and personal essentials but not so large that it becomes unwieldy or forces you to overpack. I still believe I carry too much but as I travel full time I pretty much carry all of my items I own, and My items also carried a lot of weight, but I was happy to carry this even if it was very challenging. So do think about your health and wellbeing as moving your luggage does take a toll on your body.

The Tech Arsenal – Must-Have Gadgets for Your Work Travel Packing List

In today’s digital age, having the right tech gadgets in your work-travel pack can significantly enhance your productivity and connectivity on the go. In this section, we’ll explore the essential tech items that should be part of your work-travel arsenal to ensure you’re fully equipped for success.

1. Laptop or Tablet

The Workhorse: Your laptop or tablet is the heart of your tech arsenal. It allows you to work, communicate, and stay organized while on the move. Consider factors like size, weight, and performance when choosing the right device for your needs. A lightweight laptop or a tablet with a detachable keyboard can be particularly versatile. Unfortunately for me I needed a high-performance laptop to do my design work which does carry a lot of weight which I was willing to carry. My personal Laptop is Laptop is aLenovo Legion Pro 5i which I would strongly recommend has it has performed very well for me. The only downside for this is the battery time isn’t super long depending on what tasks you’re completing. If your more accustomed to the Mac operating system, then the MacBook Pro is a perfect alternatively which still offers high performance. A tablet is also a perfect option and can replace a laptop for some people, but I carry both and currently use an iPad pro with pen which does performs fantastic for some of my design tasks. Also, while travelling defiantly get a universal adapter so you can charge all your devices.

2. Portable Charger and Power Bank

Stay Powered Up: Traveling can be unpredictable, and finding power outlets might not always be convenient. A portable charger or power bank ensures that your devices stay charged, allowing you to work or stay entertained during long layovers or on-the-go. Also please note that there has been a security threat with charging your device in public places like airports due to Cyber Hackers, so it is best to always carry one of these with you.  

3. Noise-Cancelling Headphones

Silence the Distractions: Whether you’re on a noisy plane or in a bustling coffee shop, noise-cancelling headphones create a cocoon of silence. They are essential for concentration, making work or leisure time more enjoyable. Personally, this seems to be the item I loss or broke most due to travelling or wear/tear. Out of all of them I cannot recommend Audio-Technica Headphones enough as these lasted the longest for me before I lost them. They provide excellent sound quality, and I found the battery life exceptional.

4. Smartphone

Your Pocket Office: A smartphone is indispensable for staying in touch, managing emails, and accessing important apps while on the move. Invest in a reliable, high-quality smartphone with a good camera for work and personal use. If you’re looking to travel lightly then Phones these days can replace your camera and if you’re not a photographer then this is the perfect option. I use an iPhone 12 which has done great for me while travelling.

5. External Hard Drive or Cloud Storage

It’s essential to have a reliable backup solution. An external hard drive or cloud storage ensures that your important files are secure, even if your device gets lost or damaged. I have a lot of files and if you just have a laptop getting one of these is essential to keep everything organised.

Comfort and ergonomics are not just buzzwords when it comes to choosing the right work travel pack; they are essential elements that can make or break your travel experience. My Backpack is a Mark Ryden Rolltop Laptop Backpack, 17.3 Inch Rolltop Waterproof bag that is big enough to carry my tech gear and be used as a under the seat bag on flights. This has done me well and do recommend it for travelling workers.

I didn’t realise the importance of this until summer hit. Some packs feature specialized ventilation systems that prevent your back from getting sweaty and uncomfortable, especially in warm climates. These designs keep air circulating, enhancing your comfort during long walks or hikes. My bag even though fantastic and done me well doesn’t do this great and in hot days I become very sweaty.

If you have a big bag, then this is very important cause over time you do not want to have back issues that may set you back on some important travel activities.

A well-made pack is less likely to develop discomfort-inducing issues like broken zippers or torn straps. Currently I have now gone through 2 suitcases on my journey and because I have chosen slightly budget friendly options has worked out not the best. If you’re looking for a suitcase for storage, then do consider buying something a little more expensive if it offers that durability because it is well worth it. Especially in Europe and other destinations where the road/walkways aren’t smooth so your suitcase will get some wear and tear.

It also leaves you with more weight allowance for your actual belongings. But if you’re working and travelling it can be really difficult depending on your profession. As a designer I needed a lot of tech and accessories which created weight and by also traveling full time you lead with double the clothes because of the seasons. A helpful tip would be to do seasonal work travel trips if you’re looking to save more weight and money.

Weight vs. Durability: The choice of materials significantly impacts the weight of your pack. While lightweight materials are desirable, it’s essential to strike a balance with durability. Look for packs made from high-quality, lightweight fabrics that can withstand the rigors of travel. As discussed in comfort and ergonomics material is super important and I would strongly recommend getting higher quality products, so they last. When you travel to more remote setting you will really notice the difference here.

3. Consider the Frame

Frameless or Framed: Some work-travel packs come with internal frames, which provide structural support. While framed packs may add a bit of weight, they offer better weight distribution, making them comfortable to carry even with heavier loads. This is also an important consideration for flights I found that your carry-on luggage was best to not have a frame because the frame added quite a bit of weight to your already low weight allowance.

4. Rolling vs. Backpack-Style

Rolling Packs: If you prefer ease of manoeuvrability, consider a rolling work-travel pack with wheels and a retractable handle. These are ideal for navigating airports and urban environments with minimal effort. However, they tend to be heavier than backpack-style packs.

Backpack-Style Packs: Backpack-style packs offer versatility and are generally lighter than rolling packs. They are ideal for travellers who need to carry their packs over uneven terrain or up and down stairs.

I have a mixture of both currently. I have a big suitcase for all my bulk stuff, A duffle bag and Backpack which I would carry around.

Travel Light: Minimize the weight of non-essential items in your pack. Pack only what you truly need for your trip to keep your pack as light as possible. I found this the hard way as I travelled and did a lot of short/intermediate stays of 1-2 months, I would compile a lot of stuff from my trips. One of these items was some bug hiking boots I bought before doing a hiking weekend not thinking about after this. I ended up carrying these boots for around 6 months and never used them. They took up a lot of space and I ended up given them away as I quakily realised that it doesn’t make sense to carry items you might use once in a yr. Sometimes it is more affordable long term to buy things just for a location then give away, or even renting out these items which can save you a lot of money and time.

However, some loyal brands do come at a price as your most stylish brands like Gucci come at a cost. Another well-known brand Herschal Supply Co has a large customer base with the brand itself becoming a go to for backpacks.

Ultimately, choose a pack that aligns with your personal style and comfort. A pack that reflects your tastes will make you feel confident and at ease during your work-travel adventures. A very important tip is too had some sort of self-customisation to your travel kit. This could be very simple in the form of a sticker or tag because this makes it easily identifiable, and this is especially necessary when your bags are not on your personal and being transported as lots of people have similar style bags and you do not want to loss yours.

After travelling for some time, I quickly realised that I would hold my less important thing in my suitcase and have a lot of the clothes I would wear in my duffle bag. This made it incredibly easy when doing short trips as I didn’t need to open my big suitcase and sort through everything.

Keep your important documents, such as passports, tickets, and itineraries, in dedicated travel folders or document holders. These keep your papers organized and protected. We are luckily that now a lot of items can be digital, and I keep everything I can digital as I have found this to be the safest and most reliable method. However, some countries do require paper which I found out doing my visa in Germany, as you need everything documented for them. I still carry around a folder of important documents as its still always necessary to have a hard copy.

3. Toiletry Bags

Toiletry bags are essential for keeping your personal care items organized and preventing leaks from affecting your other belongings. Look for bags with multiple compartments and waterproof linings. Also note that some airports are very strict with liquids and even make you throw away small bottles so if you’re travelling for short periods, make sure to get small liquid bottles to be safe.

4. Laptop Sleeves and Cases

Protect Your Device: A padded laptop sleeve or case safeguards your laptop from bumps and scratches. Some packs have built-in laptop compartments for added convenience. This is a non-negotiable I feel cause If my laptop breaks then I’m really screwed for a period of time so when travelling this item is always close and protected.

Keep It Tidy:  To maintain organization, periodically go through your pack to remove items you no longer need and reorganize as necessary. This ensures your pack stays efficient and clutter-free.

Smartphones and Cameras: Your smartphone and a compact digital camera are ideal tools for capturing photos and videos. The quality of smartphone cameras has improved significantly, making them convenient for on-the-go documentation.

For cameras the Sony Alpha a6000 is a popular choice among travellers that I also have had friends use and enjoy. Unfortunately, I’m still yet to purchase one because of budget but have been told to recommend this one if you’re looking for something that gives fast autofocus and captures stunning images while maintaining portability.  As mentioned earlier I currently use my phone for capturing my travels with an iPhone 12. This does a fantastic job at being portable and taking great photos without the need for a camera.  If you’re not too passionate about photography, then a mobile phone will be fine however if your planning on travelling for a long period of time I think a camera would be a smart choice. I think it will be my next purchase due to its need.

3. Travel Journal

Consider keeping a travel journal to jot down your thoughts, experiences, and reflections. A physical journal can be a more intimate way to document your journey.  For me personally I found that I would do this through social media and stories which would great my own digital journey. This blog I’m writing also reflects my travel journey and allows me to reflect on my experiences.

4. Cloud Storage

Safekeeping Memories: Use cloud storage solutions to back up your photos and documents. This ensures that your memories are protected even if you lose your devices. While you’re travelling you will take an incredible amount of photos and videos even if your not a big photographer so this is a very important consideration.

5. Blogging and Vlogging

Sharing Your Story: If you enjoy writing or creating videos, consider starting a travel blog or vlog to share your work-travel experiences. It’s a creative outlet that can also inspire others. This can be quite effective tool for your whole journey and the style of travel your looking for. I would defiantly recommend Pinterest as it is my favourite tool for sourcing inspiration.

Collect small souvenirs or trinkets from each destination to remind you of your journey. These physical reminders can evoke powerful memories. I personally don’t usually do this has it just takes to much space on my travels, but it is common for people to buys these then have them shipped back to their home.

My favourites are Booking.com (accommodation), Omio (Transportation) and Google Calendar. I do use plenty more platforms, but these are the best for their organisation aspect and having everything easy to read for you.
